Editors need these details to publish your news. Leave one out and it may be skipped.

A good agency press release saves the editor time. Missing details mean emails back and forth, and busy editors often move on instead. Include these six items every time.

  1. A dateline. City and date at the start of the first paragraph.
  2. A headline that states the news. "Agency opens second office in Elm Park" beats "Exciting growth ahead."
  3. The key facts up front. Who, what, where and when in the first two sentences.
  4. One specific quote. From a named person with a title, saying something concrete.
  5. A short company description. Two or three sentences at the end.
  6. A real media contact. A name, an email and a phone number someone answers.

Bonus: a usable photo

Attach one high-resolution photo with a caption and photographer credit. Releases with a photo are easier to run.

Read your release aloud before sending. If any sentence sounds like an ad, cut it.
