[Sample] 5 signs your agency has outgrown spreadsheets

Spreadsheets work at 20 clients. At 60, they start costing you money.

Plenty of agencies start with spreadsheets for scheduling and billing. That works for a while. If you have outgrown spreadsheets, these five signs say it is time to move to software built for home care.

  1. One person holds the schedule in their head. If they get sick, nobody can fill shifts.
  2. Invoices go out late every month. Each one takes a manual check against timesheets.
  3. Caregivers learn about changes by text. Missed messages mean missed visits.
  4. You cannot answer simple questions fast. For example: how many hours did we bill last month by client?
  5. Training and certification dates are tracked by memory. Expired records show up during audits.

List your three worst weekly headaches. Ask every vendor to show you, in a live demo, how their software fixes each one.

Plan the switch for a slow month and run both systems side by side for two weeks.
